Bulk Calling Software: How an AI Calling Platform Really Works

Bulk calling software is more than a dialer with a contact list. It is telephony, an AI voice agent, a campaign engine, recordings, lead capture and reports working together. This page explains each part, how to evaluate vendors, and why Troika Tech runs the whole stack for you as a managed service.

The challenge

Why choosing bulk calling software is harder than it looks

  • 1
Demos hide the plumbingA smooth sales demo rarely shows how numbers, retries, recordings and reports actually behave at volume.
  • 2
Feature lists all matchEvery vendor claims AI, multiple languages and a dashboard, so the real differences stay invisible until you are paying.
  • 3
Integration surprises laterTeams assume CRM or WhatsApp sync is included, then discover it needs separate scoping, time and cost.
  • 4
Nobody owns the outcomeSelf-serve tools hand you the controls, but scripts, testing, compliance and monitoring still need someone with time and skill.

If you are evaluating bulk calling software, you are probably the person who will be asked later why the campaign underperformed, why the bill was higher than expected, or why customer data ended up in the wrong place. That makes it worth understanding what is inside the product, not just what the brochure says.

At its core, any serious bulk calling platform does four jobs. It places and receives calls through a phone number that carriers accept. It speaks to the person who picks up, either with a fixed recording or with an AI voice agent that can listen and respond. It manages the campaign: who to call, when, how many times, and what to do with each result. And it gives you evidence: recordings, captured details and reports.

Troika Tech, based in Mira Road East, Mumbai, runs bulk calling for businesses across India on its own AI voice agent. We do not sell you a login and walk away. We plan the campaign, design the conversation, configure the voice and numbers, test, run and monitor it, and you track everything on a web dashboard.

The sections below break the software into its parts so you can ask sharper questions of any vendor, including us.

01

What bulk calling software is actually made of

Strip away the marketing and a modern bulk calling stack has six layers. Each one can fail independently, and each one affects your cost and results. When a vendor says their system is AI-powered, ask which layers that actually applies to.

Think of it like a delivery business. Telephony is the road network, the voice agent is the driver who talks to the customer at the door, the campaign engine is the dispatch office, and recordings, lead capture and reports are the proof-of-delivery paperwork. A weak link anywhere shows up as wasted calls or missing information.

  • Telephony: the connection to the phone network, through a dedicated virtual number (DID) that the calls go out from and come in on.
  • AI voice agent: speech recognition to hear the caller, language understanding to work out what they mean, and voice output to reply naturally.
  • Campaign engine: contact lists, scheduling windows, concurrency, retries for unanswered calls, and rules for what happens after each call.
  • Call recordings: an audio record of each conversation for quality checks, disputes and training.
  • Lead capture: structured details pulled from the conversation, such as interest level, preferred visit date, or a callback request.
  • Reporting: dashboards and exports showing attempts, connections, durations, outcomes and credits used.

02

Telephony and the dedicated virtual number (DID)

Every call needs a number. For campaigns, Troika Tech requires a dedicated virtual number, also called a DID (direct inward dialling) number. It is the number your contacts see and the number they can call back on, which matters more than most buyers expect. A person who missed a call about a school admission or a property site visit will often ring back, and that callback should reach the same AI agent or your team, not a dead line.

A dedicated number also keeps your campaigns separate from anyone else's traffic. On shared or rotating numbers, another sender's behaviour can affect how your calls are treated by people and networks. With your own DID, the history and reputation of the number is yours.

Telephony is also where Indian regulation starts to bite. TRAI's Telecom Commercial Communications Customer Preference Regulations, 2018 (TCCCPR) govern commercial calls. Promotional calls must respect the National Customer Preference Register, commonly called the DND list, and can only be made between 9 am and 9 pm. Transactional and service calls, like an EMI reminder to an existing customer, are treated differently, but consent and a clear way to opt out still matter. Good software makes these rules easy to follow; it cannot make them disappear.

03

Inside the AI voice agent: listening, understanding, speaking

The voice agent is what separates modern bulk calling software from a recorded broadcast. It has three working parts, and you should understand each one before you judge a demo.

Speech recognition turns what the person says into text. Indian calls are hard for this layer: people switch between Hindi and English mid-sentence, speak over traffic noise, or answer with a quick 'haan' or 'nahi'. Language understanding then works out the intent behind the words. Is 'Saturday chalega' a yes to a site visit? Is 'already paid' a reason to stop the reminder? Voice output turns the agent's reply back into natural speech in the chosen language and voice.

Troika Tech's AI voice agent works in Hindi, Marathi, English, Gujarati and more, across 9+ Indian languages. It can answer the questions you approve, collect details, qualify interest, book appointments or visits, and live-transfer interested people to your team. What it should not do is improvise beyond the script. A well-configured agent stays inside the topics you have signed off and hands over to a human when a question goes outside them.

When you evaluate any vendor's agent, test it like a real customer would. Interrupt it. Answer in mixed language. Ask an off-topic question. Say no politely and see whether it accepts the answer. The way an agent handles these moments tells you more than any feature list.

04

Conversational AI vs fixed-message playback vs rule-based IVR

Bulk calling software comes in three broad styles, and they are not interchangeable. Choosing the wrong one is a common and expensive mistake.

Fixed-message playback, often called voice broadcast, plays one approved recording to everyone who answers. It is simple, predictable and suits announcements: a festive offer, a dealer meet, an event invite or a public notice. The listener cannot ask anything back, so you learn little beyond whether the call connected and how long it lasted.

Rule-based IVR adds keypad options: press 1 to confirm, press 2 for a callback. It captures a little more, but it depends on people listening to a menu and pressing the right key, which many will not do. It is also rigid; any answer outside the menu is lost.

Conversational AI lets the person simply speak. They can ask about fees, timings or location, say they are busy and want a call on Sunday, or confirm a cash-on-delivery order in their own words. The agent responds, records the outcome and moves to the next step. Troika Tech can run either a fixed approved message or a two-way conversation, so you can match the style to the goal rather than forcing every campaign into one format.

  • Choose fixed messages when the goal is reach and the message is the same for everyone.
  • Choose conversation when you need answers, bookings, qualification or a handover to sales.
  • Avoid long keypad menus for audiences who are unlikely to sit through them.

05

The campaign engine: scheduling, retries and call rules

The campaign engine is the least glamorous part of bulk calling software and often the one that decides your cost. It controls which contacts are called, in what order, at what times, and what happens after each attempt.

Scheduling should respect both the law and common sense. Promotional calls stay within 9 am to 9 pm, but the best window inside that range depends on the audience. Parents may answer an admissions call in the evening; a shop owner may prefer late morning before the rush. Retries matter just as much. People miss calls, so a sensible engine tries again later, but not so often that it annoys the contact or burns credits on a number that will never answer.

Post-call rules turn results into action. A contact who asked for a callback is scheduled again. A contact who said they are not interested is not called again in that campaign. A hot lead is transferred live or flagged for your team. In Troika Tech's managed service, our team sets these rules with you during campaign planning and adjusts them while monitoring the campaign.

Ask any vendor exactly how retries are counted and billed, how opt-outs are stored, and whether a person who said no can accidentally be called again in the next upload.

06

Recordings, lead capture and reporting

A campaign is only useful if you can see what happened. Call recordings let you listen to real conversations, check that the agent said what was approved, and settle questions when a customer later says they were never informed. They also show you where the script confuses people, which is the fastest way to improve the next round.

Lead capture is the bridge between a call and a sale. During a conversation the AI agent can capture structured details: interested or not, preferred visit date, number of seats needed, the best time for a callback, or whether a COD order is confirmed. These details are far more useful to a sales team than a list of call durations.

Reporting brings it together on the web dashboard. You should be able to see attempts, connected calls, durations, outcomes, captured leads and credits consumed, and export the data your team needs. Be wary of reports that only show impressive totals. The useful view is the one that tells you which contacts to follow up today.

07

Integrations: CRM, Google Sheets, webhooks, WhatsApp and SMS

Many buyers want their bulk calling software to talk to their other systems. A real estate team may want hot leads pushed into its CRM. A school may want admission enquiries landing in a Google Sheet. An e-commerce brand may want a WhatsApp or SMS follow-up after a confirmed order, or a webhook that updates its order system.

These are reasonable goals, but integrations are projects, not checkboxes. Every CRM has different fields, every sheet has a different layout, and messaging channels have their own rules and approvals. At Troika Tech, CRM, WhatsApp, SMS, webhook and Google Sheets integrations are not part of standard retail plans. They are reviewed for your setup and quoted separately, so you know the scope before any work starts.

This is honest rather than limiting. Many campaigns work well with dashboard reports and exports alone, and you can add an integration later once the calling itself is proven. When any vendor promises integration with everything, ask what exactly is included, who builds and maintains it, and what happens when your CRM changes.

08

Data security and the DPDP Act: what to ask

Bulk calling software handles two kinds of sensitive material: the contact lists you upload and the recordings and details that come back. Under India's Digital Personal Data Protection Act, 2023, personal data should be processed for a lawful purpose, with consent where required, and handled with care. Phone numbers, voices and the things people say on a call are all personal data.

In practice that means you should only call people you have a lawful reason to contact, keep lists clean and current, and limit who on your team can download recordings. It also means asking your vendor direct questions rather than accepting general reassurances. We do not quote certifications or technical figures on this page; ask any vendor, including us, to explain their practices in writing.

  • Where are contact lists and recordings stored, and who can access them?
  • How long are recordings kept, and can they be deleted on request?
  • How are opt-outs and DND preferences recorded and honoured across campaigns?
  • Is your data ever used for anyone else's campaigns? It should not be.
  • What happens to your data when you stop using the service?

09

Build it yourself, buy bulk calling software, or use a managed service

There are three realistic routes. Building it yourself means stitching together telephony, speech recognition, a language model, voice output and a campaign engine, then maintaining all of it. It gives full control, but it needs engineers, ongoing testing in Indian languages, and someone who understands telecom rules. For most businesses that is a distraction from what they actually sell.

Buying self-serve bulk calling software gives you a dashboard and leaves the rest to you. That suits teams that already have people to write scripts, test voices, clean lists, watch campaigns and fix problems. Without them, the tool sits unused or runs badly.

A fully managed service is Troika Tech's model. You get the software, but our team also does the campaign planning and conversation design, script configuration and testing, AI voice configuration, live transfer setup, campaign monitoring and dedicated support. You still see everything on the web dashboard, with call recordings, lead capture and reports, but you are not left alone with the controls.

If you are comparing partners rather than technology, our page on choosing a bulk calling company covers that decision. If you want to see the dashboard itself, the bulk calling app page walks through using it in a browser.

10

A buyer's checklist for evaluating bulk calling software

Use this checklist in every vendor conversation. A good vendor will answer each point plainly; vague answers are a signal in themselves. Book a live demo call and test the agent as your customers would before you discuss volume.

Scaling should be predictable too. Troika Tech bills in calling credits, where 1 credit equals 1 second of usage, billed per second and never rounded up to a full minute. Volume tiers run from Starter (up to 10,00,000 credits) to Growth (10,00,000+), Business (50,00,000+) and Corporate (2,00,00,000+), with lower per-second rates at higher volumes. Exact rates come in a written quotation, prices are subject to GST, and recharge validity defaults to 30 days unless quoted otherwise. Per-second billing means short calls, such as a quick no, cost only the seconds they use.

  • Does the agent handle your languages and mixed Hindi-English speech in a live test?
  • Can it run both a fixed approved message and a two-way conversation?
  • Is a dedicated virtual number (DID) provided for your campaigns?
  • How are retries, opt-outs, DND and calling hours handled?
  • Are recordings, captured leads and reports available on a dashboard and as exports?
  • Which integrations are included, and which are scoped and quoted separately?
  • Is billing per second or per rounded minute, and how do volume tiers work?
  • Who writes, tests and monitors the campaign: you or the vendor?

FAQ

Bulk Calling Software: common questions

Need a quick answer? Call or WhatsApp +91 98674 33544.

What is bulk calling software?

Bulk calling software places and manages a large number of phone calls from one system. A complete platform combines telephony through a virtual number, a voice layer that plays a message or holds an AI conversation, a campaign engine for scheduling and retries, call recordings, lead capture and reporting. Troika Tech provides all of this as a managed service, so our team runs the campaign while you track results on a web dashboard.

How is an AI voice agent different from IVR?

An IVR plays a menu and waits for keypad input, so anything outside the menu is lost and many people simply hang up. An AI voice agent listens to what the person says, works out their intent and replies in natural speech. It can answer approved questions, collect details, book a visit or transfer the person to your team. For simple announcements, a fixed approved message can still be the right choice.

Why do I need a dedicated virtual number?

Troika Tech requires a dedicated virtual number, or DID, for campaigns. It is the number your contacts see and can call back on, so missed calls can still turn into conversations. It also keeps your calling history separate from other senders. Your contacts get a consistent number from you instead of a different random number each time, which helps them recognise your calls.

Does the software integrate with my CRM or Google Sheets?

Integrations with CRM, Google Sheets, webhooks, WhatsApp and SMS are possible but are not part of standard retail plans. Each one is reviewed for your setup and quoted separately, because field mapping, data flow and maintenance differ for every business. Many campaigns start with dashboard reports and exports, then add an integration once the calling approach is working well for the team.

Which languages does the AI voice agent support?

Troika Tech's AI voice agent works in Hindi, Marathi, English, Gujarati and more, covering 9+ Indian languages. The language and voice are configured for each campaign during setup. We recommend testing your actual script in a live demo call, including mixed Hindi-English replies, because how people really speak on the phone is the best test of any voice agent.

How is bulk calling software billed?

Troika Tech uses calling credits, where 1 credit equals 1 second of usage. Billing is per second and never rounded up to a full minute, so a short call costs only the seconds used. Volume tiers are Starter, Growth, Business and Corporate, with lower per-second rates at higher volumes. Exact rates are shared in a written quotation, prices are subject to GST, and recharge validity defaults to 30 days unless quoted otherwise.

Can the software guarantee people will pick up?

No honest vendor can guarantee pick-up or results. People are busy, some numbers are switched off, and some contacts are on the DND list for promotional calls. What good software and good campaign design can do is call at sensible times, retry thoughtfully, keep the message relevant and make the conversation useful. A clean, consented contact list matters more than any feature.

How is my data handled under the DPDP Act?

Contact lists and call recordings are personal data under India's Digital Personal Data Protection Act, 2023, which expects a lawful purpose, consent where required and careful handling. You should only upload contacts you have a lawful reason to call. Ask any vendor, including us, where data is stored, who can access it, how long recordings are kept and how opt-outs are honoured across campaigns.

Should we build our own calling system instead?

Building in-house gives full control but means maintaining telephony, speech recognition, language understanding, voice output, a campaign engine and reporting, plus testing in Indian languages and following telecom rules. Self-serve software removes the build but still needs your team to run it. A managed service like Troika Tech's covers the software and the people, from conversation design to monitoring.

How do we start with Troika Tech?

Start with a live demo call so you can hear the AI voice agent and test it with your own questions. A test run may be available depending on your use case. After that we plan the campaign, configure the number, voice and script, and share a written quotation. Call or WhatsApp +91 98674 33544, call +91 90761 71741, or email info@troikatech.in.

Hear your bulk voice call before you buy

Share your use case, language and monthly volume. We will set up a live demo call and send a written quote with per-second rates. No obligation.
